The United Nations World Food Programme is the world’s largest humanitarian agency fighting hunger worldwide. The mission of WFP is to help the world achieve Zero Hunger in our lifetimes. Every day, WFP works worldwide to ensure that no child goes to bed hungry and that the poorest and most vulnerable, particularly women and children, can access the nutritious food they need.

In emergencies, WFP gets food to where it is needed, saving the lives of victims of war, civil conflict and natural disasters. After an emergency, WFP uses food to help communities rebuild their lives. On average, WFP reaches more than 80 million people with food assistance in 75 countries each year. The organization has the global footprint, deep field presence and local knowledge and relationships necessary to provide access to nutritious food and contribute to lasting solutions, especially in many of the world’s most remote and fragile areas.

The Regional Bureau in Nairobi (RBN) provides strategic guidance, policy/technical support and direction to WFP operations and activities in nine countries: Burundi, Djibouti, Ethiopia, Eritrea, Kenya, Rwanda, Somalia, South Sudan and Uganda

JOB PURPOSE

The WFP is decentralizing more responsibilities from the  central Headquarters to the Regional Bureau; to this end, it is developing further systems and policies for staff to use in order to carry out their duties more efficiently and effectively. Currently, staff working in the Administration units have, on average, at least 9 different online systems to work with as well as numerous portals to obtain relevant information from.

The Regional Bureau has the responsibility to supply the administration services to all the staff in the office, and to give oversight to the 9 Country Offices under of the East and Central Africa Region. What is required is to have a better understanding on the systems that the Administration staff need to use; what portals are available to get information from; and what reports we will need to obtain on a monthly basis from the Country Offices.

STANDARD MINIMUM QUALIFICATIONS
  • Currently enrolled in the university and having completed at least two years of undergraduate studies; currently enrolled in a graduate programme (Master’s degree) from a recognized university; or have graduated from an undergraduate or graduate programme within the last 6 months, preferably in Business Management, Human Resources, International Relations, Business Administration, Computer Science, or other related fields.
  • Fluent in English (both oral and written) is a must; knowledge of a second UN language, preferably French, would be an asset.
  • Proficiency in MS Office/Office 365 (Word, Excel, PowerPoint, Access, SharePoint) and ERP systems.
KEY ACCOUNTABILITIES (not all-inclusive)
  • Support in the development of a monthly administration analytics dashboard which is to include information, required by the RBN management and for the administration unit to analyse, on how the Country Offices are preforming in order to identify areas where guidance and assistance may be required.
  • Be the focal point for information collection and sharing between the RBN administration team and other stakeholders, including the Country Offices and Headquarters.
  • Carry out in-depth analysis to record the various systems, tools and technology available to analyse data and identify trends.
  • Record reports and consolidate information required from Headquarters, within the established timelines.

  • Analyse available reports, to identify areas within the administration services that may need improvement.
  • Consolidating and reporting of administration activities to the RBN management.

TERMS AND CONDITIONS
  • Interns receive a monthly stipend from WFP depending on the duty station of assignment (i.e. Nairobi).
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education.
