Kenya Wine Agencies Limited (KWAL) is the leading manufacturer and distributor of wines and spirits in Kenya , Eastern and Central Africa region.

Introduction

The role holder will be responsible for driving the business to higher levels of planning maturity by leading a Sales & Operations Planning Process and facilitating Business Strategy Deployment to achieve desired customer service levels at an optimum total cost to serve. This also includes building KWAL’s Planning capability whilst cascading planning education throughout the business and managing the Centralized Planning Function.

Specification

    • Strategic Planning: Aligned & Deployed Strategy:
      • Ensure that 3-5-year plans are aligned with Business Strategy and Objectives.
      • Compile 3-5 Year Demand Plans.
      • Compile 3-5 Year End-to-End Supply Plans to deliver the Business Plan.
      • Tactical programs and align bottom up plan with top down targets.
    • Demand Planning
      • Manage the demand planning process and focusing on eliminating bias and improving forecast accuracy.
      • Provides input into company wide demand planning processes & continuous improvement initiatives in this area.
      • Coordinate integration of activity plans coming from Supply Chain and Commercial on top of baseline to produce unconstrained demand
      • Responsible for the creation of baseline forecast.
      • Highlight risk and opportunities in sales volume based on statistical analyses, activity evaluations and Commercial Director feedback.
      • Develop and refine the forecasting process, models and tools leading to improved accuracy.
      • Responsible for generating and improving the demand forecasts for the business by using a range of methods, including base forecasting.
      • Complexity Management – regularly review SKU portfolio with extended teams (customer, finance and supply chain) and make appropriate recommendations
      • Coordinate with local Brand Building and Customer Marketing teams on innovation and promotion plans & forecast, respectively
      • Make weekly reviews for operational forecast
      • Ensure updated & agreed volume forecast are submitted for the financial forecasting
      • Highlight risk & opportunities to create the range forecasting
      • Consolidates demand planning activities to create the rolling unconstrained demand plan
  • Supply Planning
    • Ensure effective running of Requisition to payments (R-2-P) cycle.
    • Establish and sustain collaborative/ productive relationship with KWAL Suppliers
    • Responsible for Distribution Requirement planning for Full goods
    • Responsible for running stock modelling for Raw-Mat, Dry goods, and Full goods
    • Responsible for the rough-cut capacity plan and ensure that adequate investments are done to secure the required customer service level.
    • Plan production according to the market requirements and maintain a live and valid master production schedule
    • Optimize the production plan by implementation of the production run strategy to ensure high level of customer service
    • Lead SC innovations across the site
    • Construct project networks and lead teams from local and regional teams to ensure perfect implementation of innovations
    • Ensure that site contingency plan is live and maintained
    • Manage Working capital targets of site to agreed management levels
    • Ensure optimal source of supply of all products to all points of distribution considering all supply chain costs, while eliminating Out of Stocks
    • Optimise Working Capital through managing levels of both Raw Materials and Finished Goods
    • Custodian of Model Stocks (DDMRP buffers) and the Manufacturing Replenishment System
    • Short term supply grid balancing in the event of special cause impacts (e.g. line break downs)
  • 4.Materials Planning & Supplier Development
    • Run of the MRP (material requirement planning) of dry goods for the site
    • Maintain Master Data integrity in the system
    • Run up/ run down of all materials in times of innovations/promotions to ensure limited business waste and on time availability of new materials (Phase In Phase Out)
    • Maintain lines of communications with suppliers and supply management on the performance of suppliers in liaison with Procurement
    • Implement the supply management strategy on suppliers (new suppliers, delisting of suppliers)
    • Optimize the forecast and order process between the factory and the suppliers
    • Management of all Raw materials supply.
    • Management of the supply and inventory holding of all intrinsic, with a well-developed working relationship with all intrinsic suppliers and Distell
    • Ensuring raw material availability for plant call off
    • 5.Developed Business Planning Capability:
    • Set a framework to develop staff capability in Demand Driven Adaptive Systems (DDAS), Demand Driven Material Requirements Planning (DDMRP), Sales and Operations Planning (S&OP).
    • Design, review and improve planning processes and systems. Cascading this capability to relevant stakeholders throughout the business.
    • Effective 5 Step S&OP Processes: Product Review; Demand Review; Supply Review; Reconciliation + Gap-closing and Management Business Review processes in place.
    • Effective Operational Planning & Control Process: Master Supply Planning & Scheduling; Material Requirements Planning; Capacity Planning; Manufacturing Planning; Procurement Planning; Master Data maintenance.
  • 6.Financial Management and Efficient Operations
    • Achieve KWAL Growth, Margin and Cash Flow Objectives
    • Enable Business growth and Margin Enhancement through operational Excellence
    • Achieve or beat KWAL Supply chain Cost per litre budgets
    • Optimize KWAL cash conversion cycle
    • Manage and report all the KPI’s selected for category team scorecards (Forecast accuracy Lag 1, Lag 2 and Lag 3, 13-week plan stability, volume, OTIF, OOS levels, etc.
  • Sustained Business Planning Processes through Knowledge Management:
    • Develop Policies; Procedures; Activity Diagrams, Process Flows, Role Clarification (RACI) and Work Instructions for planning processes.
  • Effective use of ERP Planning Modules and DDMRP Tools:
    • Implementation, coaching and sustaining of systems
  • Effective Leadership & Departmental Management
    • Instil a culture of Professionalism and Continuous improvement for the planning function at KWAL by developing people, performance manage, ongoing coaching and establishing good employee relations.
    • Drive KWAL operating margin improvement through effective teamwork and innovation
  • Judgement and decision making
    • Accountable to deliver an optimal Demand & Supply Plan over a 18 -24 month view to deliver to the business top down strategy, objectives & targets.
    • Deliver a 13-week operational plan to deliver to the required Customer Service Levels at Optimal Cost and make changes on a daily basis to adjust the plan as reality unfolds.
    • Decisions / changes will be made across the end-to-end Supply Chain for both Operational (13 weeks) and Tactical (18 months) Plans.
    • Decisions / changes will impact all Plants, Distribution, Sales & Customers, Business Profitability and Suppliers.

Requirements

  • B. Com degree in Logistics or B Eng. Degree with statistical background
  • 7 – 10 years’ experience in a planning environment; 3-5 years in a Supply Chain FMCG Environment at Management Level
  • Advanced Excel knowledge with proficiency
  • Analyst (Business/Stock) – 2-3 years; 2 years planner – demand and supply; 2 years project manager
  • Advanced Excel knowledge; Syspro, SAP, Sage; Sales forecasting, Supply Planning and Stock Management
  • Analytical skills; strong numerical aptitude, strategic thinking, good communication and networking skills, people management skills and project management skills
